Position Purpose
The Housing Officer (Day Shift) ensures a clean, disciplined, and student-friendly housing environment. The role involves maintaining cleaning standards, managing student check-ins/check-outs, addressing concerns, supporting allied departments, and ensuring smooth housing operations. Officers must prioritize a student-first mindset, professionalism, problem-solving, and a structured housing experience.

Key Accountabilities
Student Support & Housing Experience

  • Serve as the primary contact for student queries, ensuring prompt, student-friendly resolutions.
  • Conduct monthly student satisfaction surveys to enhance housing services.
  • Facilitate student orientation on housing policies and ensure regular notice board updates.

Cleaning & Hygiene Management

  • Ensure all general areas are cleaned twice daily, verifying and signing off cleaning sheets.
  • Oversee request-based room cleaning, ensuring janitorial staff adhere to policies and do not solicit tips.
  • Conduct daily inspections to uphold cleanliness and hygiene standards.

Discipline & Housing Policy Enforcement

  • Conduct two daily rounds to ensure discipline, safety, and compliance with housing policies.
  • Address minor infractions and escalate serious violations as needed.
  • Monitor for unauthorized visitors and report security concerns.

Guest Accommodation & Allied Department Support

  • Assist allied departments (e.g., CCA, CES) with guest accommodations and common room handovers.
  • Conduct safety rounds for external delegates.
  • Support societies and departments in their housing-related responsibilities.

Student Check-in & Check-out Management

  • Manage check-ins/check-outs strictly via HESK, ensuring no undocumented movement.
  • Verify room conditions at check-in/check-out and document any damages.

Maintenance & Repairs

  • Log and manage all maintenance requests via HESK and GAS tickets.
  • Follow up on pending maintenance issues to ensure timely resolution. Emergency & Health Response.
  • Act as the first respondent for student emergencies, escalating cases as per SOPs. 
  • Document and report all emergency incidents to relevant authorities.

Lost & Found Management 

  • Maintain a Lost & Found system, ensuring lost items are recorded and securely stored.
  • Inform students about retrieval policies. Compliance & Reporting. 
  • Ensure all assigned HESK tickets are closed by Friday; unresolved tickets must be unassigned. 
  • Adhere to office timings and coordinate leaves in advance to prevent workflow disruptions.

Behaviors

  • Professionalism in handling student concerns and maintaining housing discipline.
  • Strong problem-solving skills to ensure smooth housing operations.
  • Ability to work collaboratively with different departments and teams.

Experience

  • 1-2 years of ralevent experience.

 

Qualification

Bachelors in Management or any Relevant Field.
