Position Purpose: 

The Operations Associate – Weekend & Night Support plays a vital role in ensuring the seamless functioning of CAPS services during off-peak hours, including weekends, and overnight emergencies. This role serves as the operational backbone during times when core staff are off duty, facilitating therapist coordination, emergency booking logistics, and real-time administrative support.

The position ensures timely, accurate allocation of therapy sessions by acting as a liaison between students and therapists, based on availability and need. The associate is also expected to assist in data entry and data verification and contribute to ongoing record-keeping. While the role is primarily remote, on-campus presence may be required during events or when morning shift backup is necessary.

Key Accountabilities:

  • Session Coordination & Allocation:

    Facilitate coordination between students and therapists for weekend and night session allocations, ensuring accurate bookings based on mutual availability and service needs.

  • Emergency Booking Management:

    Respond to helpline calls during night shifts, coordinate urgent therapist allocations, and escalate high-risk 

  • Operational Documentation: 

    Maintain accurate records of therapist allocations, student requests, emergency bookings, waitlists, and follow-ups, with a strong focus on data integrity and confidentiality. 

  • Data Entry & Verification: 

    Assist in verifying student Campus IDs from therapists' monthly reports and contribute to structured data entry for internal documentation and annual operations reporting. 

  • Morning Shift Coverage (As Needed): 

    Provide allocation support during the morning shift in the absence of the morning staff.

  • Event Coverage & On-Campus Support (As Required): 

    Assist in logistical coordination and provide operational coverage during on-campus CAPS events. 

  • Operational Assistance:

    Provide day-to-day administrative and coordination support to the Operations Lead, ensuring smooth departmental workflow and timely execution of tasks.

Knowledge and Skills:

  • Excellent spoken and written English communication skills.
  • High attention to detail and strong accuracy in data handling.
  • Demonstrated emotional maturity and discretion in handling sensitive cases.
  • Self-motivated, dependable, and able to work independently during off-hours.
  • Proficient in Microsoft Excel, Google Sheets, SPSS, and professional email handling.

The Operations Associate must demonstrate professionalism, discretion, and maturity at all times. Given the sensitive and often urgent nature of this role, the ideal candidate must:

  • Maintain confidentiality in all interactions and documentation.
  • Work independently and with integrity during night and weekend shifts.

Qualification:

Master’s in applied psychology from a reputable HEC-recognized institute.

Experience:

Minimum one year of relevant Experience.
