Position Purpose:

The Operations Associate will support the effective and efficient day-to-day operations of the Center for Water Informatics & Technology (WIT). The position will assist in projects and grant administration, procurement, HR operations, financial coordination, asset management, travel arrangements, event management, and general administrative activities. The role requires close coordination with internal departments, project teams, donors, vendors, and external stakeholders to ensure smooth and timely execution of the Center’s operational activities.

Main Responsibilities:
 

  • Responsible for coordinating and managing international, national, government, industry, and institutional projects and grants.
  • Managing and maintaining the Center’s assets, including asset records, allocation, tracking, transfer, and recovery processes.
  • Managing procurement and supply chain processes, including vendor coordination, quotations, purchase requests, negotiation with suppliers, pricing, and delivery schedules.
  • Supporting HR operations, including recruitment and hiring, onboarding and orientation, employee documentation, attendance and leave management, compliance, training, and professional development.
  • Planning and coordinating local and international events, including conferences, symposiums, workshops, seminars, exhibitions, and official meetings.
  • Providing administrative support for regular office operations, including workspace allocation, office moves, workstation readiness, office supplies, and other operational requirements.
  • Supporting the management of departmental and project budgets, including expense tracking, financial documentation, budget monitoring, and future financial planning and forecasting.
  • Managing local and international travel arrangements, including visa processing and documentation, air ticketing, accommodation, transportation, and other travel-related logistics.
  • Providing support for other operational, administrative, and project-related tasks as assigned by the supervisor/HoD.
Qualification
  • Minimum Bachelor's (Hons) degree from a reputable HEC-recognised institute.
  • At least 1 to 3 years of experience in a related field.

Knowledge and Skills:

  • Good working knowledge of MS Office (Word, Excel, PowerPoint, and Outlook).
  • Good command of written and spoken English.
  • Basic knowledge of administrative, HR, procurement, and financial processes.
  • Understanding of project coordination, documentation, and record management.

Skills:

  • Strong organisational, administrative, coordination, and multitasking skills with the ability to manage multiple priorities and meet deadlines. 
  • Excellent written and verbal communication, interpersonal, and stakeholder management skills. 
  • Good understanding of project administration, procurement, HR operations, budgeting, financial documentation, event management, and travel coordination. 
  • Proficiency in Microsoft Office, particularly Excel, Word, PowerPoint, and Outlook, with strong attention to detail and record management skills
